Geek Managed Services started working with Barkers Attorneys in August 2020. With more than 40 staff, the company needed to upgrade its infrastructure and its servers, which were more than 10 years old. They had an ambition to move to the cloud but were also hesitant at the time.

Barkers were previously told by their IT providers that it was not immediately possible to put their current legal applications and their emails into the cloud and therefore pushed them towards a “hybrid environment” where they were to be locked-in to the IT providers Data Centre.

THE CHALLENGE

Geek Managed Services started working with Barkers Attorneys in August 2020. With more than 40 staff, the company needed to upgrade its infrastructure and its servers, which were more than 10 years old. They had an ambition to move to the cloud but were also hesitant at the time.

“In preparation for a successful move to the cloud for Barkers we had to get a lot of the groundwork done in a really short space of time.  We did encounter challenges where one of them being some of the client workstations were not on the Windows 10 operating system which was a prerequisite for the cloud move and this needed to be completed before the festive period.”

Barkers also needed a more strategically aligned IT partner that could modernize their business and workflows and “keep with the times”, which they thought was just not possible based on their engagements with other IT providers. Until they met the team at Geek Managed Services.

THE SOLUTION

When Barkers first approached GMS, they were looking for a new strategic IT direction. They wanted an IT system and infrastructure that was designed for them and worked exactly how they wanted it to.

With the demand of multiple applications being accessed simultaneously, their whole system was increasingly slow, and they did believe that a significant investment on upgrades and licences for on-premises equipment and archaic technologies for marginal improvements was worth considering. 

GMS audited the whole IT infrastructure and assets, set an IT strategy, and began modernising everything including more than 40 user PCs and laptops. Many of their PCs and laptops were also on Windows 7 which reached the end of its life in early 2020 - GMS ensured that all PCs and laptops were updated and compliant before moving forward with their journey to the cloud.

 The full transition to the cloud was staged, with emails and archiving taking priority as security and stability were of the utmost importance. Their archaic mail system had very little to no support in the event of a disaster, so their emails were migrated to Microsoft's hosted exchange and paired with Mimecast for archiving.  

 

“It was great to see our client retire their old server infrastructure and finally see it put to sleep. Barkers now have the freedom to work from the office, home or anywhere without being interrupted by load shedding, which previously was a challenge. For any legal firm, time is money and with Barker’s dependence on their multiple legal and financial applications - Lexis Convey, Legal Suite, Pastel Accounting and Lotus Notes - meant that GMS had to strategically plan and execute the migration seamlessly to ensure minimal downtime, user adaptability as well as the actual integrity of the data being migrated, whilst ensuring the firm did not lose out on any billable time. 

Barkers now takes full advantage of the benefits offered by Microsoft 365 and Azure, with the very latest security and exceptional performance levels. Even when using the older software, each user experiences faster speeds. The users experience has been enhanced to a point where they experience the same level of performance no matter where they are working from.

Application updates also do not need to be conducted on every single workstation and staff have access to systems even in a web browser and tablet.

Today, GMS not only provides service desk support, but also functions as Barkers completely outsourced CTO - fulfilling all their IT and tech requirements whilst building and maintaining their digital strategy ahead, along with advice and guidance on emerging products, features and security compliance and procedure information.

"The transition phase was daunting at first, however many hours were spent by GMS staff (Jarred, Kemlyn, Carl and Quinton to name a few) to research our specific programme applications that we use as well as specific requirements needed by the employees in order to perform their duties efficiently on the cloud-based server. There were some speedbumps along the way, however I am pleased to report that moving to a cloud-based server proved to be successful overall, despite the transition taking slightly longer than anticipated.”
